How to Write a Professional Resume That Gets Interviews

Recruiters spend an average of 6–7 seconds scanning a resume before deciding whether to read further. That means your resume needs to communicate your value immediately — through clear structure, relevant keywords, and measurable achievements.

A well-written resume does three things: it passes automated screening (ATS), catches a recruiter's attention, and makes a compelling case for why you deserve an interview.

There are three standard resume formats, each suited to different career situations:

• Reverse-chronological — Lists your most recent experience first. Best for candidates with a steady career progression in one field. This is the most widely accepted format and the safest choice for most applicants.
• Functional (skills-based) — Organizes content by skill category rather than timeline. Useful for career changers or those with employment gaps, but many recruiters dislike it because it obscures your work history.
• Combination (hybrid) — Leads with a skills summary, then follows with reverse-chronological experience. Good for senior professionals who want to highlight both breadth of skill and depth of experience.

When in doubt, go reverse-chronological. It is what ATS systems parse most reliably and what hiring managers expect.

Every professional resume should include these core sections:

• Contact information — Full name, email, phone number, LinkedIn URL, and optionally your city/state. Do not include a full street address.
• Professional summary — Two to three sentences that summarize your experience level, core skills, and what you bring to the role. Tailor this for every application.
• Work experience — Job title, company name, dates, and 3–5 bullet points per role. Start each bullet with a strong action verb and quantify results wherever possible.
• Education — Degree, institution, and graduation year. Include GPA only if it is above 3.5 and you graduated within the last 3 years.
• Skills — A concise list of technical skills, tools, and certifications relevant to the target role.

Optional sections like projects, awards, publications, and volunteer work can strengthen your resume if they are directly relevant to the position.

The biggest mistake job seekers make is listing responsibilities instead of achievements. Compare these two bullets:

• Weak: "Responsible for managing social media accounts"
• Strong: "Grew Instagram following from 2K to 45K in 8 months, generating 120+ qualified leads per month"

Use the XYZ formula: "Accomplished [X] as measured by [Y] by doing [Z]." This forces you to include a result, a metric, and a method — exactly what recruiters want to see.

Start every bullet with a past-tense action verb: led, built, reduced, increased, designed, automated, negotiated, launched.

Keep your resume to one page if you have fewer than 10 years of experience. Two pages are acceptable for senior roles with extensive relevant experience.

Use a clean, readable font (10–12pt body text), consistent spacing, and clear section headings. Avoid graphics, tables, columns, and headers/footers — they break ATS parsing.

Save your resume as a PDF to preserve formatting across devices. Name the file professionally: FirstName-LastName-Resume.pdf.
